Position Description:

  • The Corporate Strategy and Sustainability teams are seeking a bright, well-organized person to support one VP and several directors with a variety of administrative tasks, including: 

  • The setup and processing of purchase orders (POs) in SAP.

  • Understanding each department's main types of spending and budgets.

  • Understanding policies and procedures for different spending types.

  • Preparing simple RfAs (Requests for Authorization) as needed to support the PO process.

  • Setting up and modifying purchase requisitions and purchase orders in SAP. 

  • Interacting with vendors to ensure they understand and adhere to policies and procedures.

  • Processing invoices and resolving issues with vendors as needed. 

  • Travel arrangements, including flights, hotels, rental cars o While travel is limited during the pandemic, there are still some travel arrangements that are required, and we hope this will rebound significantly in the coming months.

  • Meeting arrangements, both on- and off-site, in several locations.

  • Ensuring meeting rooms are booked for face-to-face meetings.

  • Organizing off-site meetings.

  • Arranging meals before, during, and after meetings as needed.

  • Expense report preparation, Other administrative tasks as needed and as time permits.

Requirements: 

  • Proficient in SAP 

  • Expertise with the main Microsoft Office tools, including Outlook, Word, PowerPoint and Excel 

  • Willing to undertake training to rapidly become an expert in the processes mentioned above (if such skills aren't available) 

  • Self-directed and able to prioritize work 

  • Comfortable with variation in day-to-day activities 

  •  Ability to organize and prioritize tasks, including the ability to handle multiple high priority issues concurrently 

  • Experience providing assistance to C-level and/or VP-level executives in a corporate setting 

  • Able to work with a diverse set of stakeholders with different expectations, primarily virtually

  • Ideal candidate will have experience in getting approval for, setting up and closing out purchase orders in an SAP environment. 

  • Requires a high level of attention to detail. Solid organizational skills 

  • Able to get along with different personality types 

  • Strong communication skills with the ability to effectively communicate with all levels of the business 

Education:

  • College degree preferred.
