Job Description:

  • This role requires that all successful applicants be fully vaccinated against COVID-19 as a condition of the engagement and provide proof of such vaccinations within 3 days of commencement of services.

Role is ONSITE.

Interviews: 2 rounds, 1 over Zoom and 1 in person

Job Responsibilities:

  • Responsible for SEC Mail Screening, arrange messengers and overnight package services.

  • Responsible for CD uploads of documents to internal systems.

  • Responsible for the creation of Job Numbers to assist in allocation of expenses.

  • Maintains scheduling for Conference Room Calendars.

  • Coordinate related conference room requests including catering, audio/video conference, etc.

  • Light to moderate client contact.

  • Telephone coverage for team, answer phones, take accurate messages, back-up other lines as needed.

  • Provide backup support for colleagues during vacation/sick days, and assist their teams/managers as needed with phone coverage, calendar maintenance, travel, lodging and other administrative office needs.

  • Navigate Firms resources, interface with various departments to collect information, respond to requests, obtain services, etc.

  • Miscellaneous Projects.

Required Skills and Personal Attributes:

  • Strong communication, judgment, and problem-solving skills.

  • Strong attention to detail as well as solid organization/time management skills.

  • Must be an enthusiastic, positive team player who is willing to assist, and who works well with colleagues.

  • Able to work in a fast-paced environment and handle multiple tasks concurrently.

  • Flexibility with assigned duties and hours.

  • High level of professionalism and business etiquette.

Other Requirements:

  • Proficient in Microsoft Office applications, especially Outlook for email, calendar and contacts.

  • Proficient in Excel, Powerpoint & Word.

  • Keep up to date with office procedures and technical training as well as all policy guidelines & compliance requirements.
