Job Description:


  • Prepare patient medical record and scan into the appropriate location in the Electronic Medical Records (EMR), Mosaiq and/or ARIA; schedule patients for consultation, re-eval, and follow-up appointments; answer telephones, retrieve messages from the answering line, and triage calls to appropriate person(s); maintain clean waiting rooms; rotate to provide coverage at satellite locations.


  • Retrieves referrals from the fax machine and/or emails; shares scheduling responsibly among all Radiation Oncology Assistants (ROA); scans documents required for Multidisciplinary Clinic (MDC) on rotational basis.

  • Schedules patients for consultation and/or re-evaluation, following established guidelines for appropriate length of time from referral to first scheduled appointment; schedules patients for follow up based on one-to-one physician assignment; collaborates with Radiation Oncologists or their primary nurse, on patient appointments that fall out of the normal scheduling template; documents patient appointments in the appropriate EMR (Mosaiq or ARIA).

  • Accurately creates patient medical records prior to patient appointments ensuring patient is not already in the EMR; generates an “alert” in the EMR for patient who have the same first and last names; requests charts from off-site storage as indicated; obtains documents from referring offices and/or the appropriate software applications pertinent to the patient’s diagnosis and scans into the appropriate section of the EMR a minimum of three (3) days prior to the patient’s appointment.

  • Checks patients in for scheduled appointments, queuing them into the appropriate EMR (Mosaiq or ARIA), makes copies of their insurance cards; takes an identification photo and uploads into EMR.

  • Participates in the Event Reporting Committee (ERC) and able to address any concerns brought forward regarding delays in patient chart preparation, missing insurance authorization information, etc. 

  • Shares pertinent information from ERC with co-workers, applying corrective action when required.

  • Checks the “scheduling line” and retrieves call from the Answering Service in the morning upon arrival; checks the scheduling line in the afternoon, and prior to closing for the day; responds to any messages or forwards to the appropriate caregiver.   Answers phone lines by the third ring, even if it means placing the current caller on hold while completing another call.

  • Cross trains to provide back up support for the Access Coordinator, processing insurance authorizations and rotating to the dosimetry huddle to provide updated insurance information in efforts to avoid patient delays.

  • Monitors patients/visitors in the waiting room to ensure all patients have been checked in; notifies patients upon check in if there is a delay for their scheduled appointment, causing an unanticipated wait time; keeps the waiting room area clean and free of debris.

  • Rotates to provide coverage at satellite facilities upon request; performs other clerical duties as required.

  • Performs assigned work safely, adhering to established departmental safety rules and practices.  Reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.

  • High school diploma or equivalent.

  • Previous experience in an outpatient clinical department is preferred but not required

  • An equivalent combination of education and experience may be substituted.


  • Knowledge of appropriate departmental and hospital standards, policies, and procedures.

  • Knowledge of clerical functions specific to the department.

  • Knowledge of some medical terminology as it relates to cancer patients.

  • Ability to work constructively with all members of the health care team.

  • Ability to prioritize crisis calls, notifying appropriate personnel.

  • Ability to maintain patient and employee confidentiality.

  • Ability to operate fax, multi-line telephone, copy machine, and other office equipment in a safe manner.

  • Skill in use of computer software applications, including Microsoft Office.

  • Skill in navigating department Electronic Medical Records (Mosaiq and ARIA).

  • Ability to multi-task.

  • Ability to demonstrate Customer Service Skills.
