Job Description:
FULLY REMOTE
Expected hours per week: 25-40, full 40 hours not guaranteed weekly.
Initial assignment: 6 months but possibility of extension and conversion to FTE
Requirements:

This is an hourly role.
Hours will vary week to week but anticipated to be 25-40 hours per week.
Every other Friday will be off (9/80 schedule), per Client’s normal work schedule.
Client contacts are primarily located on the West Coast in the PST zone.

RESPONSIBILITIES:
QUALIFICATIONS:
Experienced developing and documenting processes required. Flow-charting experience is a plus.
Must have excellent communication skills.
Proficient with Word, Smartsheet/Excel and Microsoft programs including Teams required. Client uses a number of tools including Miro, Common Surface, Confluence and Asana. Must be comfortable learning new programs.
Must be very detail oriented, possess excellent writing and editing skills.
Ability to synthesize and organize data from multiple sources including from department representatives at every organizational level.
Interest in, and ability to research best practices; ability to extract information suitable for application. Ability to project a path of discovery, design and deliverable from A to Z. Ability to work with technical data even in new areas.
Schedule and lead meetings to collect information. Request feedback and assimilate to improve processes. Familiarity with cycles of learning and improvement.
Must be comfortable asking questions, identifying missing information, validating processes and presenting logical process steps and flow.
Project ownership will require active follow up, diligence and persistence. Disciplined and able to juggle multiple processes in various stages of development with a results focus and drive to get deliverables out the door.
Elevated level of communication, interpersonal skills, intelligence, common sense, and professionalism.
Administrative skills, experience in facilities, operations, EHS or office management preferred.
The role is to:
Develop, document, update, test and improve processes and workflows for the Facilities, Real Estate, EHS, Project Management and Lab Management teams.
Develop presentation materials, formal process documents including flowcharts.
Work collaboratively with functional business teams and technical partners to achieve objectives. This is a highly visible role with opportunity to work with leaders across different departments.
Juggle multiple tasks, prioritize, and interface with multiple stakeholders while maintaining a positive and even keeled attitude.
Assist in the definition of process objectives and timelines
Engage relevant stakeholders and pull informal information out of people’s heads and formalize into easy-to-understand and follow processes, as well as socialize (train) those who need to understand and follow the processes.
Review existing information, update or modify documentation, seek out missing information, validate information and finalize documentation.
Coordinate and lead meetings, communicate status and resolve issues.
Perform research and analysis, source best practice standards for various areas of work requirements, create documentation and organize it in an easy to find and follow system
Provide regular updates on status of achieving milestones and objectives
Minimum 3 years relevant experience.
Six Sigma and/or PMP a plus.
Ability to work in an environment supporting multiple stakeholders at all organizational levels
High initiative, enthusiasm, sense of urgency and energy should be clearly evident.
Persuasive abilities – be able to articulate the importance of formalizing processes.
Be both a team player and an independent contributor.
Ability to consider “big picture” ramifications and actions
Proficiency with MS Word, MS Excel, PowerPoint Knowledge of Process Documentation (process flow charting, documenting processes)
Ability to work in a fast-paced, multi-tasking environment
Ability to overcome obstacles and understand the resources needed to accomplish the projects at hand timely.

Take pride of ownership and care about work product quality
Ability to train and socialize processes with stakeholders and set up cycles of review and improvement involving appropriate resources.
