Summary of This Role:
The Administrative Support Assistant is responsible to support and facilitate the daily operations for the offices & buildings. This employee will need to be able to excel in all processes relating to managing the day-to-day facilities management, office administrative, and onboarding needs by completing the following duties as well as other duties as the needs change.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provide building and office management services for economy of operation and maximum usage of facilities and equipment.
Work with site security, maintenance, and administrators to ensure daily site operations.
Review vendor contracts, onsite vendor performance, timely work order completion, and maintenance related activities.
Participate in collaborative space planning efforts with management and site leaders.
Prepare, implement, and lead fire safety initiatives.
Track expenditures, conduct benchmarking and respond to trends of the expenses.
Perform regular site safety inspections and coordinate mitigation.
Perform weekly inventory and order office supplies, breakroom supplies, safety supplies and conference room supplies and replenish when necessary.
Order badges, and request facility access for employees, contractors, and visitors.
2+ years’ experience with facilities, property assistance, or administrative support required
Proficiency in Microsoft Office Suite including Word, Excel, Powerpoint, Visio, and Outlook
Oracle and ADP Self Service Portal
