Responsibilities will include heavy calendar management, external partner coordination, travel & event coordination and booking, direct report onboarding & offboarding, expense management, document management and cross-team coordination. The executive assistant will also play an important part in ensuring the Portfolio team is well organized and efficient, including helping with organizational alignment and managing access to key team resources and distribution lists.
The candidate should be comfortable in a fast-paced environment with tight deadlines.
Flexibility, strong communication, discretion and global collaboration are the key skills the successful candidate will possess.
The person will be the primary contact for internal scheduling requests as well as external partner meetings scheduling.
Manage calendars and agendas
Act as a central point for travel coordination and arrangement.
Track and manage expense reports and approval processes as needed.
Coordinate group functions, including reserving conference rooms, arranging catering, etc.
Provide logistical support for department team meetings, events, and conferences, working in collaboration with other Admins, Facilities and IT.
Administration of partner and external executive invitations, and coordination of offsite meetings.
Light travel may be required.
Coordinate department onboarding of new hires: Portfolio org chart and distribution list updates, coordination of assets/access.
